Facility Security Policy

Policy

The OSU Foundation has developed a Facility Security Policy that is in effect at this time. The Foundation provides facility access Control Cards to authorized employees, and limited access Control Cards to student supervisors within the call center unit.

Purpose

The policy has been established to maintain a safe and secure working environment for employees and guests, and to prevent theft of the Foundation's physical and electronic assets, including confidential information.

Procedure

All exterior doors to the Foundation Center, with the exception of the front lobby entry, are to be closed and locked at all times by means of mechanical and/or electronic lock devices. During normal business hours (8am-5pm M-F) the lobby doors will be electronically held in the "open" position; after hours entry will require the use of the assigned Control Card.

Additionally, the 3 wooden doors which separate the lobby, hallway behind the lobby, and the break room from the central and western section of the facility are to be closed and locked during non- business hours. Access to the central/western section from the lobby entry will be gained through the hallway door, via the use of a Control Card; this door is to be closed after entry.

OSUF Staff/Control Card holder responsibilities

    1. Be aware of their surroundings, and know who should legitimately be in the facility. Ask questions as appropriate. This is of particular importance if entering the building during off hours - pay attention to unfamiliar vehicles or bicycles in the parking lot - south lot and carport included.
    2. Observe and report immediately any activities and/or individuals acting in a suspicious manner:
      • Contact the Facilities/Operations Manager.
      • Contact your immediate Supervisor.
      • Contact Campus security if warranted; 7-7000 for police emergency.
    3. Contact the Facilities/Operations Manager immediately if you observe any issues or concerns regarding doors and/or locks which are not functioning correctly. Ensure that exterior doors close and latch upon your entry or departure from the facility.
    4. Report lost or stolen Control Cards immediately to the IT Help Desk and/or the Facilities/Operations Manager.
    5. Control Cards are not to be loaned to other persons.
    6. Admitting unauthorized persons into the facility is prohibited. Be alert, and ensure that no person shall "piggy back" into the facility after you gain entry prior to the door latching behind you. Authorized guests include those who are in the facility for OSUF related business, or personal business with OSUF staff members (family, friend, etc). Authorized guests should be greeted at the front lobby and escorted to their destination within the facility.
    7. Altering locks, doors, or propping doors by any means is prohibited.
